The Stratify Legal Discovery™ application processes data parallel with the ongoing review, in segregated servers so that there is no performance impact on reviewers. Task automation and robust reporting minimize errors and ensure that data is processed and loaded into the review application fast and accurately. The Stratify Processing Console handles all aspects of document extraction and processing without the need for additional software. The workflow covers:
Data files are copied from each physical media item. Compound or complex data files (e.g., an email message that contains a PST file, which in turn can contain a ZIP file) are extracted recursively to their basic document components. Relationships between emails and attachments, and between documents and objects in archived or compound files, are then captured and stored in the database. Raw data that cannot be restored is separated and any processing errors are recorded.
To prepare for loading documents into the review environment, the Processing Console provides a robust, multi-stage processing workflow, including:
Data Culling. The data universe can be culled based on extracted metadata, such as date range, data sources or custodians.
Data Filtering. Documents can be filtered using Stratify’s advanced keyword and Boolean filtering technology.
Duplicate Detection. The console can be configured to identify and remove exact duplicate and near-duplicate documents either within or across custodians.
Concept Clustering. The console analyzes the content of documents and automatically develops concept clusters that describe the meaning of documents in whole or in part. These concept clusters are then organized into a concept hierarchy and documents are sorted into relevant concepts. New concepts are created as new documents are processed into the system.
Search Indexing and Verification. The text and metadata for all documents are indexed in Stratify’s full-text search engine, and the index is verified and approved.
When batch processing is complete, the documents, metadata, concept folders, and indexes are migrated to the review application.
